The Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH is a federally owned international cooperation enterprise for sustainable development with worldwide operations. GIZ has worked in Rwanda for over 30 years. The primary objectives between the Government of Rwanda and the Federal Republic of Germany are poverty reduction and promotion of sustainable development. To achieve these objectives, GIZ Rwanda is active in the sectors of Decentralization and Good Governance, Economic Development and Employment Promotion, Energy and ICT (Information and Communications Technology).
The “Tech Entrepreneurship Initiative Make-IT in Africa” (https://Make-IT-initiative.org/africa/) promotes digital innovation for sustainable and inclusive development in Africa. In close collaboration with corporate and financing partners, social enterprises, hubs, and networks, ‘Make-IT in Africa’ supports the growth of an enabling environment for young start-ups in the digital economy in Rwanda, Ghana, Kenya, Nigeria and Tunisia – to facilitate better access to finance, markets and skills. As national coordinator for Make-IT in Africa Desk Accra, you will be one of two national representatives and be part of the Africa team of the Initiative.
GIZ Rwanda is searching candidate for the position of Administrative Assistant for the Tech Entrepreneurship Initiative Make-IT in Africa.

  A. Responsibilities
The Administrative assistant is responsible for:
• Overall smooth, uninterrupted functioning of the project office.
• Maintenance of an overall good flow of communication and information in the project.
• Filing of documents according to GIZ procedures.
• Assisting in other accounting duties.
The administrative assistant performs the following tasks:
B. Tasks
1. Secretariat work and services
• Organizing, developing and overseeing office working processes in line with GIZ regulations
• Organizing events, workshops, and meetings.
• Taking notes and writes minutes of meetings.
• Managing incoming and outgoing correspondence (post, fax, email).
• Photocopying and scans documents as needed
• Drafting official letters independently.
• Keeping the schedule of the team leader and other component leaders
• Entering information/documents into and maintaining the electronic management information and paper-based filing system.
2. Administration
• Creating and maintains a filing system for the office, treats the information confidentially, specifically in the areas of personnel and finance.
• Monitoring and verifies vehicle logbook and monitoring fuel consumption.
• Carrying out procurements on request of team leader according to GIZ regulations.
• Updating and maintains the inventory list of the Project
• Managing stock of stationery, consumables and other materials.
3. Other duties/additional tasks
• Performs other duties and tasks at the request of management

• Bachelor’s degree in Finance, Business Administration or similar area
Other knowledge, additional competences
• Good working knowledge of ICT technologies and Start-up Ecosystem
• Very good knowledge of English and Kinyarwanda. French would be an asset
• Pro-active and open personality, willing to communicate with team and partners
