Right To Play hereby invites all eligible national bidders to submit their Expression of Interest (EOI) to supply Fuel for the year 2022-2023.

Service Provider core responsibilities and obligations: The selected provider will be committed to provide services with due diligence, efficiency, timely delivery according to expected standard of professional and commercial requirements
The purchase price of the Product will be the prevailing pump price that will be given by RURA off the agreed discount. The price will be always quoted in Rwandan Francs, all taxes included.
The selected provider will provide fuel to: 3 Vehicle (Kigali country Office)
1 vehicle and 4 motor bikes (Ruhango project)
1 vehicle and 3 motor bikes (Kayonza Project)
1 Vehicle (Rubavu Project) as per request through periodical prepayment or post
Payment depending on the negotiation
The selected provider will be refilling RTP cars and motorbikes upon presentation of consumption card and provide receipts and reconciliation will be done on a monthly basis upon a report submitted to the Finance staff of the base. If the supplier does not use cards, it’s important to disclose in the bid their means for fuel management in as far as prepayment concerned.
Terms Of Services For Selected Suppliers Supplies order: Right To Play will pay a certain amount of money for a specific period of time, subject to reconciliation every month.
Transport and delivery: Once prepayment is not applicable, RTP will issue an LPO the selected supplier. Refilling is done to any petrol station of the selected supplier upon presentation of the consumption card.
Invoicing and payments: Selected provider will submit an invoice to RTP on a monthly basis, when prepayment is not a case, with all required supporting documents: copy of Purchase Orders (one or many depending on how many Purchase Orders were done in the month), delivery notes signed by the Client, invoices including EBM receipt. Payments will be done through bank transfer within 15 working days following reception of the invoice.
Offers - Administrative Requirements
Services providers are required to submit the following documents with their offers:
Company profile
Company registration certificate
Valid tax registration certificate from Rwanda Revenue Authority
Valid clearance from RSSB
Valid tax clearance and proof of EBM use from Rwanda Revenue Authority.
Having at least 2 years of experience in the field
Reference from former or current clients for past 2 years.

Offers Requirements Service providers must submit the following details for offered items

Quotations must be submitted in English in one original copy and two copies
Quotations must have a validity of 60 days from submission of offers.
Any incomplete offer will be subject to immediate rejection
