Right To Play hereby invites all eligible national bidders who are qualified and reputable company, to submit their Expression of Interest (EOI) to provide IT service (Maintenance) to Right To Play program locations and Kigali Country Office for year 2022-2023.
Description of the Tender The scope of the contract shall include but not limited to the following:
1. Software Configuration and maintenance:
1. Installation and configuration of operating systems and other necessary software on new laptops and desktops.
2. Maintenance of computer operating systems, monitoring of computers performance and removing malicious software
3. Maintenance of firewalls, routers, and access points
4. Assist users to install/uninstall and configure particular software on demand
5. Assist users accessing available resources for regular data backups
6. Make recommendations on the acquisition of new software and new technologies when necessary.
2. Hardware maintenance 1. Cleaning laptops, desktops and racks to prevent dust buildup
2. Cleaning printers to prevent dust buildup, to remove toner residues from the paper path, to get rid of excess ink in order to the quality of the printed sheets
3. Software trouble shooting
1. Support users in case of software malfunction, errors and crashes
2. Resolve the end-user problem with computer software by diagnosis and fixing errors.
4. Hardware repairing
• Resolve end user problem with computer hardware (desktops, laptops, printers and other IT equipment) and related peripherals such as replacing laptop screens, batteries and keyboards,
• Resolve end-user problems with printers and repairing them when necessary.
• Make recommendations on the acquisition of new computers, printers, or spare parts when necessary.
• The IT maintenance provider will provide all necessary materials, tools, equipment and working consumables needed for the maintenance services.
Pricing
Interested suppliers or service providers are required to provide monthly cost for provision of IT equipment maintenance services for each project. The quoted prices/ cost must include all applicable taxes.
Submission of bidding documents The bidder must submit the following documents:
1. Letter of interest addressed to RTP country Director
2. Company profile (include e-mail, phone number, Physical address of the office)
3. Company registration certificate
4. Valid tax registration certificate from Rwanda Revenue Authority
5. Valid clearance certificate from RSSB
6. Valid tax clearance certificate and proof of EBM use from Rwanda Revenue Authority.
7. Having at least 2 years of experience in the field
8. Reference from two former or current clients for past 2 years.
The bidders must submit their bids well-presented to Right To Play Rwanda via
rwandaprocurement@righttoplay.com with subject of your e-mail “Expression Of Interest For Provision Of It Equipment Maintenance To Right To Play Rwanda For 2022/2023”.
The deadline for bidders to start submitting their bids is from 8th August to 31st August 2022 not later than 17:00 PM local hour. Bids that will be submitted after the deadline date and time will not be considered.
The opening of the bids will take place in a separate session. Communication of the opening result will be shared through e-mail to the bidders.
Right to Play reserves the right to reject any bid deemed inappropriate
