1. Background

CARE is looking for potential competent and reputable bidders to supply five vehicles with the following minimum specifications.
CARE’s evaluation of quotes will be based on the factors set out below. At the sole discretion of CARE, bidders may be selected for follow-up questions. CARE reserves the right to award the purchase to the vendor whose quote is deemed to be in the best interest of CARE.

Interested bidders must submit a quote for five vehicles to be sold duty-free, which meets the minimum required specifications listed in the detailed RFQ. Failure to meet all the minimum required specifications may disqualify a bidder from the selection.

Bidders will receive an auto-confirmation upon receipt. DO NOT email your quote to any employee of CARE or deliver your quote in hard copy to the CARE office. Failing to adhere to these instructions may make your quote ineligible for consideration.
The deadline for submission is May 10, 2023; 5:00 PM Kigali time. Late submissions will be disqualified.
The bid should include at minimum:1. Bid number should be indicated in subject of the application email.
2. Company profile including a full legal name, jurisdiction of incorporation, and address of the company, copy of a valid registration certificate and/or tax compliance (i.e. VAT when applicable);
3. A contact name, email address, and telephone number to facilitate communication between CARE and the vendor.
4. Bank account information including the scanned copy of blank check or document from the bank confirming bank account information (name, account number, swift code, …);
5. Vehicles specifications per the attached minimum required A description or pamphlet describing the features of the vehicles quoted by the proposed vendor;
6. A valid quote and/or price schedule. Prices for the requested goods should include all associated fees (such as duties, customs, or shipping fees, IT plate) but priced as a separate line item in the submitted, including rates for options. Prices quoted by the bidder shall be firm and fixed during the bidder’s performance of the final contract and not subject to variation on any account;
7. Payment terms;
8. Availability and delivery timeline for the vehicles;
9. Service after sale;
10. Warranty period against manufacturer defects;
11. A Certificate of Origin (C.O.) or Manufacturer Statement of Origin.
