TITLE: Request for quotation for IT equipment maintenance
Urwego Bank PLC (herein referred to as the Bank) hereby invites interested professional companies to submit their financial proposal.
Please note also the following,
All the quotations should be submitted in sealed envelopes with the following mentions:

“RFQ 2022/IT/001 for IT equipment maintenance and submitted to the bank’s reception at its head office located at , Plot 428, KN5 RD, UMUYENZI PLAZA, Remera Sector,Gasabo, Tel. +250 788173100, Website: www.urwegobank.com;

The bidder / company is requested to mention his address too in the corner side of the same envelope
The quotations received, and acknowledged at the HO, will be opened and analyzed for selection by the Bank Tender Committee Members who will thereafter inform each bidder of the selection decision.
The quotations should include the VAT along with a valid tax clearance certificate issued by RRA, a valid Trading license/incorporation certificate (Registre de Commerce). Note that the bidder should be in the field tying with this present tender as per RDB registration certificate; “ Repair of computers and peripherals”
The bidder should present 3 completion certificates from different reputable institutions.

During the implementation the contractor will have the following responsibilities:

1. To do maintenance services of all IT equipment of the Urwego Bank's branches

2. Scheduled maintenance time, visits to check and test IT equipment functionality and connection during these visits, each item of equipment will be checked for functionality and condition, and a written report will be generated for bank’s records. And duly signed by the bank’s IT staff or Branch’s representative.

3. Any request of cleaning and adjustment of equipment for full functionality shall be carried out and any faults found will be traced and corrected.

Basic services Requested

Check for soft and hardware maintenance needed for Desktop & Laptop by performing the following actions including, but not limited to:

Housing cleaning
Screen cleaning
Temporary files
Verifier battery system or Cmos battery
Cooling Processor system
Repair damaged components
Spare parts replacement as agreed
Storage device health detector

Check for maintenance needed for Printers by performing the following actions including, but not limited to:

Body cleaning
Pickup cleaning
Sensor cleaning and checking
Laser cleaning and checking
Pressure roller
Fuser film detector
Head cleaning
Printer port verification

Check for maintenance needed for network equipment by performing the following actions including, but not limited to:

Switch and router cleaning
Check for connectivity status and needed fixes
Check Cable status and correct where required

NB: After each service, a report must be submitted to Urwego IT departement. This report will include the attached form duly filled in.
