REQUEST FOR EXPRESSIONS OF INTEREST FOR PHARMACY WAREHOUSE MAPPING FOR KING FAISAL HOSPITAL RWANDA

King Faisal Hospital, Rwanda (KFHR) is a multi-specialty quaternary Hospital with a mandate to provide specialized health care in East and Central Africa. It is a 160-bed specialty referral and teaching hospital in Kigali, Rwanda. KFHR contributes significantly to realizing Rwanda’s Health Sector Strategic Plan IV priorities and targets.

 The consultancy will focus on warehouse mapping, stock arrangement, stock inventory, and labeling of shelves, and barcoding of all items in the pharmacy. The selected consultant will provide professional guidance and expertise to optimize the pharmacy's inventory management processes following best practices.

King Faisal Hospital Rwanda now invites Specialized firms to indicate their interest in providing the services. 

Interested firms must provide information indicating that they are qualified to perform services of similar nature, have experience in similar conditions, and have the availability of qualified experts.

The consultant will carry out the following specific activities: 

  1. Warehouse Mapping: To Develop a comprehensive layout and map of the pharmacy's warehouse, ensuring efficient space utilization and clear identification of different storage areas.
  2. Stock Arrangement: To Provide expert recommendations and implement best practices for organizing medication and consumable items within the pharmacy's warehouse. The stock arrangement will be strategically designed, considering various factors such as pharmacological class or item category, alphabetical order within the class or category, stock rotation, and ease of access. The approach should aim to optimize the efficiency of the inventory management system
  3. Stock Inventory: To Conduct a thorough inventory assessment of all medication and consumable items in the pharmacy, including accurate quantification, categorization, and documentation.
  4. Shelf Labeling: To Design a clear and consistent labeling system for shelves, ensuring accurate identification and easy retrieval of items for staff members.
  5. Barcoding: To Implement a comprehensive barcoding system within an already existing Inventory Management System for all items in all pharmacy locations in the hospital, enabling efficient tracking, inventory control, and seamless operations while reducing errors and enabling effective stock management from the moment items are received to the point of sale or transfer within the pharmacy.

The Consultant should be firm with demonstrated experience in;

  1. Extensive knowledge and expertise in pharmacy inventory management, including warehouse mapping, stock arrangement, and barcoding implementation.
  2. Previous experience conducting similar consultancies in pharmacy settings, preferably in a similar healthcare facility, with at least five years of experience.
  3. Familiarity with relevant regulations and best practices in inventory management within the pharmacy sector.
  4. Strong analytical, problem-solving, and reporting skills, with the ability to provide practical and effective solutions.
  5. Excellent communication and interpersonal skills, enabling effective collaboration with the pharmacy staff and stakeholders.

The firm should propose a team of key staff qualified in IT, Pharmacy, and inventory controlling (Finance or related field) with experience in warehouse mapping, stock arrangement, stock inventory, and labeling of shelves and barcoding of all items in the pharmacy. Bachelor’s Degrees, at least five years of relevant experience each, and two projects performed are required.

The consultant will be selected in accordance with the Consultant’s qualifications-based selection method (CQS).
