FH Association Rwanda (Food for the Hungry) is an International Christian Relief and Development Non-governmental organization. FH Rwanda has been implementing integrated relief and development projects in Rwanda since 1994. FH Rwanda currently has programs in Nyagatare, Gatsibo, Kamonyi, Muhanga and Ruhango districts. FH Rwanda has adopted an integrated programming approach CFCT (Child Focused Community Transformation) through 4 sectors: Livelihoods, Education, Health, and Disaster Risk Reduction.

FH Association rwanda (food for the hungry) hereby invites sealed bids from eligible national bidders who have Electronic Billing Machine qualified, reputable Hotels, to submit their Expression of Interest (EOI) for a tender No 0012/06/FY22:
• Provision of Hotel Services from 29th August 2022 to 2nd September 2022 (including accommodation and full-day conference package) to Food for the Hungry staff during the upcoming all-staff retreat in Rubavu district, Western Province.
This call for proposal is open on equal terms to all hotels within the Rubavu district in Western Province.

Requirements
1. Date of staff retreats it’s from 29th August 2022 to 2nd September 2022
2. Technical Proposal
Interested Hotel for the mentioned tender are required to submit bids with the following required certifications and should be valid at the date of submission of the bids;
1. Letter of interest addressed to FH country Director
2. Hotel profile showing the background & the hotel assets which back the business and full legal address and location of the Hotel.
3. Registration certificate from RDB.
4. Certificate of tax clearance from RRA still valid.
5. RSSB certificate still valid.
6. VAT certificate.
7. Hotel categories (Star/Inyanyeri)
8. The Hotels should be located Rubavu District
9. RDB Certificate of non-bankruptcy/Good stranding still valid
10. Proof of being able to provide an electronically generated bill (EBM)
11. Provision of at least 6 certificates of completion from both private and public institutions in the last 3 three years.
C. Financial proposal

a. Accommodation package:
Room accommodation should cover:
1. Bed and breakfast.
2. Free wireless internet. Gym, swimming pool, sauna & steam can be another advantage.

Person/ Staff
b. Diner with 1 soft drink per person Person/ Staff 110
c. Conference package:
Full-day conference package should cover:
1. Conference hall includes tables, chairs, air-conditional facility. (mention the number of participants it can accommodate)
2. Sound system
3. Projector
4. Wireless connection.
5. Flipchart stand & paper with markers.
6. Pens and writing pads.
7. 2 bottles of water per person/day
8. 2 tea breaks with flesh juice per day
9. Lunch with 1 soft drink per person

Peron/Staff
The offers well-typed, appropriately bound Technical proposal presented in One Original and Two copies and the Financial proposal presented in One Original and two copies must reach FH through email: fhr-tendercommittee@fh.org
The deadline for bidders to start submitting their bids is from 18th July 2022 to 20th July 2022 not later than 10:30 AM local hour. Bids that will be submitted before that date and after the deadline date and time will not be considered.
The opening of the bids will take place in a separate session. Communication of the opening result will be shared through e-mail to the bidders.

FH Rwanda reserves the right to reject any bid deemed inappropriate
