SOSOMA Industries Ltd sells nutritious high-quality products especially to infant, young and elder people including pregnant women, vulnerable people such as people affected by humanitarian crisis, chronic diseases.
The Vision of the company is to be a leader in provision of safe, quality nutritious foods towards elimination of malnutrition in the region. This will be achieved through its missions of producing and supplying safe, high quality and value-added nutritious foods that focus on customer needs.
SOSOMA Industries Ltd is seeking to recruit an experienced Administration and Finance Manager who has integrity and is results-oriented. The position is based in Kigali (Kicukiro), for a fixed term contract of Two (2) years renewable.

Job Description
Job Title : Administration and Finance Manager

Job Purpose : The core purpose of “Administration and Finance Manager” is to support the Managing Director in managing SOSOMA Industries Ltd finances and property, ensuring financial stability and sustainability at SOSOMA Industries Ltd, regular financial reporting, and superintending over logistics. The following are the performance areas for Administration and Finance Manager:

Performance areas
a) Financial management
• Set up and maintain sound financial system that is capable of tracking, accurately, SOSOMA Industries Ltd incomes and expenses, liabilities and assets, and from which reliable financial reports shall be generated as and when required;
• Ensure regular and timely reconciliation of bank accounts;
• Ensure an effective filing system that is capable of easy access to financial data and information, as well as effective audit trail;
• Ensure proper internal control and implementation of established financial policies and procedures;
• Lead and coordinate the preparation of periodic financial budgets (quarterly, annually);
• Review budget execution reports and query any budget variances;
• Plan and manage cash flows to ensure uninterrupted flow of operational activities;
• Ensure SOSOMA Industries Ltd finances are spent on only planned activities.
• Manage SOSOMA Industries Ltd bank accounts;
• Ensure full compliance with tax laws, companies’ laws to ensure prevention of tax and other penalties.
b) Accounting and financial reporting
• Maintain proper books of accounts on the basis of which financial statements that present a true and fair view of the financial affairs of SOSOMA Industries Ltd shall be prepared;
• Prepare and submit regular financial reports (monthly, quarterly, annually);
• Regularly liaise with external auditors and ensure timely submission of audit reports, and follow-up implementation of agreed audit recommendations.
c) Administration and logistics
• Review any contract prior to signature and ensure compliance with applicable laws and SOSOMA Industries Ltd policies;
• Review and authorize (or decline) petty cash transactions as necessary;
• Maintain a Register of Fixed assets and bi-annually verify the existence of the assets in comparison with the record in the Register;
• Superintend over the maintenance of payrolls;
• Process tax declarations by due dates (CIT), and ensure compliance with RRA declarations (all other taxes: PAYE, VAT, RSSB, WHT);
• Support Managing Director in evaluating performance of administrative/ finance staff.

Person Specifications:
a) Academic & professional qualifications:
• Holder of Certified Public Accountant (CPA) or ACCA qualification. Being a member of the Institute of Certified Public Accountants of Rwanda is an advantage.
• Being a holder of a Bachelor Degree in accounting or financial management is an added advantage.

b) Essential experience:
• At least 10 (ten) years working experience as senior accountant/finance manager in a busy (high volume) finance department.
• Proven experience in a manufacturing company Accounting Department would be an added advantage
• Working experience in an external audit firm as audit senior for at least 5 (five) years will be an added advantage.

c) Essential knowledge:
• In-depth understanding of programmatic accounting (chart of accounts) for food processing companies;
• In-depth understanding of financial statements for private companies;
• Sound understanding of tax laws, and laws governing private companies in Rwanda;
• Strong working knowledge of accounting software such as SAGE, SAP, QUICKBOOKS.

d) Essential skills:
• Analytical and attention to detail;
• Effective time management;
• Effective communication skills (oral, written), proficient in English language, and effective report writing; effective communication in French and Kinyarwanda will be an added advantage;
• Proficiency in MS Office packages (MS word, Excel, Power-point);
• Team leadership;

e) Personality:
• Sociable, mature, decisive, integrity, objectivity;
• Ability to work under minimum supervision (self-mover);
• Ability to work under strict deadlines and remain on track.
