JOB DETAILS:
The Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH is a federally owned international cooperation enterprise for sustainable development with worldwide operations. GIZ has worked in Rwanda for over 30 years. The primary objectives between the Government of Rwanda and the Federal Republic of Germany are poverty reduction and promotion of sustainable development. To achieve these objectives, GIZ Rwanda is active in the sectors of Decentralization and Good Governance, Economic Development and Employment Promotion, Energy and ICT (Information and Communications Technology). GIZ Offices are the central element of GIZ’s field structure. They ensure consistent overall representation of the company and its successful positioning as a service provider in the international cooperation market. GIZ Office Rwanda is searching for a candidate for the position of Receptionist. The position will be based in the GIZ Country Office at Kigali .

A. Responsibilities
The Receptionist is responsible for
• Liaising with customers in a service-oriented manner on behalf of the office by providing Professional phone service, personally welcoming visitors and maintaining a high standard in the reception area
• Dealing with phone calls related to GIZ
• Ensuring incoming and outgoing calls are efficient and uninterrupted
• Performing reception and secretarial services daily
The Receptionist performs the following tasks:
B. Tasks
1. Phone and reception services
• Welcoming the visitors in the office.
• Answering and orienting phone calls and messages and/or forwards them to the different units
• Maintaining a call-backs list of all incoming calls which cannot be taken by the relevant staff member
• Mating system of the received invoices at the office
• Registering documents and organises incoming and outgoing correspondence
• Ensuring deputation for other support staff members
• Supporting in the country office event organization
• Ensuring that visitors are comfortable by offering newspapers, refreshments etc.
2. Office work and services
• Sorts and distributes incoming correspondence
• Managing the meeting room (booking follow up)
• Is responsible for distributing and accepting documents and packages to/from the post office, government institutions, embassies etc., and is responsible for these
• Ensures periodicals are put out
3. Other duties/additional tasks
• Creates and maintain office address file with important contact details Updates the filing system daily with incoming and outgoing correspondence
• Photocopies and scans documents as needed
• Performs other similar duties and tasks at the request of management
C. Required qualifications, competences and experience
Qualifications
Bachelor’s degree in Business Administration, Social Sciences and any other related field.
Professional experience
• At least 1-3 years’ professional experience in a comparable position
Other knowledge, additional competences
• Pro-active and open personality with good communication skills
• Politeness and helpfulness in dealing with visitors
• Good working knowledge and experience of ITC technologies (phone, email, internet, and other communication-related software) and computer applications (e.g. MS Office)
• Very good written and oral knowledge of English, French, and Kinyarwanda,
• Knowledge of the German language would be an asset
• Willingness to upskill as required by the tasks to be performed
