Position: Administrative Assistant
Contract Period: 2 years renewable
Probation Period : 3 Months
Report Line: RCWE Executive Director
Duty Station: Kigali, Rwanda
Rwanda Chamber of Women Entrepreneurs (RCWE) is implementing a project on strengthening the Women in Business which aims at reducing gender-based constraints faced by women in trade, increase access to trade support services, improve skills and capacities of women traders funded by Trademark East Africa.
It is in this context, Rwanda Chamber of Women Entrepreneurs (RCWE) in collaboration with the Private Sector Federation Secretariat is looking for a suitable candidate to fill the position of Administrative Assistant who will assist in implementing RCWE’s activities. Under the direct supervision of the Executive Director, the Administrative Assistant shall undertake the following specific tasks:.
Job Responsibilities:
• Assist the Executive Director in developing annual, quarterly, monthly, weekly work plans;
• Coordinate all planned activities and monitor the implementation progress;
• Draft ad-hoc progress reports and thematic reports if required;
• Establish and maintain the internal information system of the Chamber;
• Organize meetings, workshops, seminars, and general Chamber events;
• Develop and maintain filing system of the Chamber;
• Coordinate the implementation of the RCWE’s mission and vision;
• Implementation of RCWE action plan and financial procedures;
• Conducting desk research, analyzing data and suggest methods to improve their practices and processes to better achieve its objectives;
• Assist to promote partnership with public and private institutions;
• Assist to mobilize the RCWE members;
• Creating a detailed business analysis, outlining problems, opportunities, and solutions for business;
• Develop annual and operating plan in line with the RCWE’s goals and, in consultation with the Executive Director & EXCO;
• In consultation with the Executive Director, ensure that annual financial statements, reports, and budget are prepared for the board on time;
• Any other responsibilities/function deemed necessary by the Supervisor in order to meet the level of the services in RCWE.
Job Skills:
• Demonstrated knowledge and competence in administrative and clerical work is a MUST;
• Familiar with MS Word, MS Excel, PowerPoint, MS Outlook is a MUST;
• Kinyarwanda, English and French-speaking and writing fluency as well as good translation skills;
• Good planning and reporting/minutes/memo writing skills is required;
• Ability to implement strategies and plans and guide subordinates
• Proven excellent interpersonal and communication skills;
• Ability to work in a multi-cultural and multi-national environment
• Analytical and problem-solving skills
• Excellent skills in leadership, Strategy, Entrepreneurial, Planning, Budgeting, Marketing, Innovation, Capacity building, Project management, Risk management, Business performance, Decision-making, timely and quality reporting.
Job Qualifications:
• A minimum of Master’s degree in Business Administration, Management, Economics or Social Sciences in Gender Culture and development and other related fields.
• Must have at least five (5) years of work experience relevant to the function.
