Terms of Reference for providing hygienicmaterials to the vulnerable sponsored children

1. About Plan International Rwanda

2. Ethics and Important considerations

Plan International Rwanda is fully committed to the gender responsive safeguarding of all children and young people from all forms of violence. We take very seriously our responsibility and duty to ensure that we, as an organization, and anyone who represents/works with us does not in any way harm, abuse or commit any other act of violence against children and young people or place them at risk of the same.

3. RFP Details

Plan International Rwanda is seeking for a financial proposal from registered and reputable companies to supply hygienic materials to Plan International offices in Gatsibo District – Kiramuruzi Sector- Gakenke Cell.

4. Objective of the activity

To provide Hygienic materials to 7,838 (males 2,940 & 4,898 females) Sponsored Children in Gatsibo Program Unit by the midst of June, 2024 for boosting the hygiene conditions in their families and backing them to remain healthy.

5. Target group

All the 7,838 SCs (males 2,940 & 4,898 females), children aged from one year to 17 years. These children are from Rwimbogo, Murambi, Kiziguro Sectors, and Simbwa cell of Kabarore sector in Gatsibo District. 

6. Expected key results

Some of those vulnerable 7,838 sponsored children are living in poverty and are at risk of getting illness from the dirty and will benefit from those hygienic materials and be supported to be healthy. They will also receive this backing as a note of appreciation for being ambassadors of their communities. 

7. Timeline and delivery period

The hygienic materials will be purchased early June 2024, and the contracted supplier is expected to deliver all items within the period not exceeding seven days after getting the Purchase order (LPO). The total delivery has to be completed before the 20th June 2024. The supplier will deliver these materials to the Office of Plan International Rwanda in Gatsibo District, Kiramuruzi sector.

9. Application and Requirements

We invite all the interested suppliers to submit the following documents:

1. A proposed delivery schedule/time frame
2. Provision of recent three good completion certificates of similar supplies (3 past years). They should have the total value of above 100 million Rwandan francs.
3. Experience of at least 5 years
4. Copy of RDB certificate
5. Copy of VAT certificate
6. Valid Tax clearance
7. Detailed quotation including VAT and transport to location (Office of Plan International Rwanda in Gatsibo district).

Interested and qualified suppliers should submit their offer, in sealed envelope, clearly marked “Supply of Hygienic materials in Gatsibo district” by hand (Reception of Plan International Rwanda- Kigali Country office/Kacyiru) not later than 2.00 pm of 10^th June 2024
