This is the African Institute for Mathematical Sciences, Next Einstein Initiative (AIMS-NEI) in Kigali. We would like to request your best and final offer (BAFO) in Rwandan Francs (RWF) for the following services:

1. Type and Quantity: Educational books printing and delivery

NB:                                                                                                     

• 658 Science schools; each school will receive 2 books per subject (Mathematics, Physics, Chemistry, Biology). In total, each school will receive 8 books country-wide.
• In addition, 6 books for each subject for each level will be delivered to REB for Model schools, which makes it a total of 72 books.
• In addition, 5 books for each subject for each level will be delivered to AIMS, which makes it a total of 60 books.                                                                                         

2. Quality specifications:

• The books’ materials should be of good quality and quantity described above. 

3. Invitation to the preview for books to be printed: 

All interested bidders are invited to a pre-offer preview of the books to be printed.

Bidders will be able to witness the precision and dedication that goes into each book and ensure to submit a bid that truly aligns with the vision of the project.

First Visit:

Date: Wednesday 23^rd,2023

Arrival time: 10h00 and starting time 10h20 am to 11h00 

Second Visit:

Date: Tuesday, August 29^th, 2023

Arrival time: 10h00 and starting time 10h20 am to 11h00 

4. Delivery:

All printed books will be delivered to the respective schools provided cfr annex 4 at specific times agreed upon and formally communicated by AIMS NEI 

5. Packaging: 

The bidder shall be responsible for packing and such packing shall be in accordance with the standard preventing the books from damages. The Service provider shall be liable for the damages to the books as the result of inadequate or improper packing before reception by the schools. 

6. Markings: 

All packaging for all books should be clearly marked “For Academic Use Only”. 

7. Inspection: 

The bidders recognize that an inspection of the books shall be conducted by the AIMS Rwanda procurement team prior to printing and delivering the books (through the collection of samples). Quantity and quality (technical specifications) inspection shall be carried out on delivery at the schools.

The AIMS Rwanda reserves the right to have the books inspected and to reject books which do not comply with the technical specifications. 

8. Payment:

Payment will be effected within 30 days from the provision of the invoice by the supplier and all supporting documents in order by the supplier, i.e. commercial invoice, signed delivery note and Food received note by AIMS staff and check in and check out proofs.

9. Your offer should clearly state the following:

1. Location and contact details of your company.
2. Price per service mentioned above.
3. Sub-total (i.e. Show the total without VAT and with VAT)
4. Grand Total
5. Bank information (Bank name, bank account, and account name)
6. (If any)
7. Kindly use your company’s letterhead for your quotation 

10. Pertinent information:

1. Proposal is required for the Provision of Printing Services according to the details listed above. Therefore, it is essential that the proposal is delivered as a matter of urgency.
2. We reserve the right to split up the order between several service providers.
3. AIMS-NEI Purchasing Terms and General Conditions attached hereto are applicable.

4. Previous experience providing a similar service (Three recommendation letters and two proofs of contract at least for the previous 5 years)
5. Having worked with AIMS previously is an added advantage. 

11. All or None Clause:

The AIMS-NEI reserves the right to accept the whole or part of your offer and the lowest bid

need not be accepted. Should your offer be accepted, you will be required to sign, stamp the contract and return a copy confirming your acceptance of the agreed terms and

conditions as per attached Annex 1. 

12. Required documents and certificates: 

(All documents in English) 

• Financial offer – signed and stamped detailed quotation (including cost per unit) and all applicable charges in Local currency (RWF)
• Business registration certificate from RDB
• Tax clearance certificate
• Company profile including at least three client references.
• RSSB Certificate
• Tax clearance

Validity:

Your offer must remain valid until 30/11/2023 before which a flame work agreement if placed, should be accepted by you.
