What we do with the BioNTainers:
We want to improve healthcare by making our innovations accessible worldwide. Therefore, we developed the first modular mRNA-manufacturing facilities based on a container solution called “BioNTainers”. The aim is to build a regional manufacturing network in Africa, with Africa, for Africa.
Why we need you:
The BioNTainers will be equipped to produce a range of mRNA-based vaccines targeted toward the needs of African Union member states. You will become part of the regional staffing team, driving the establishment of the regional African end-to-end mRNA manufacturing network.
Role Summary
As an office Manager, you will supervise the temporary BioNTech office at Triumph House in Kigali, Rwanda. You will be responsible for smooth running of organizational and administrative activities as they arise, in accordance with the BioNTech corporate guidelines. You will work closely with the Front Desk- and Office Services Teams at BioNTech HQ in Germany, as well local staff, such as security.
In this role, you will be the first point of contact for questions from guests, service providers and colleagues as well as address and resolve unforeseen and unplanned events calmly and competently while organizing and handling tasks independently at the site. Responsibilities:
• Assistance in the onboarding process of new BioNTech staff, providing guidance and orientation regarding the premises, etc.
• Visitor and guest reception according to Facility Access Management Policy, Dawn Raid Policy, Security Policy, etc.
• Managing the office space, assignment of personnel to respective workspaces, and keeping a record of office space capacities
• Issuance of visitor passes after data check and required documents, general assistance, support, and care of guests
• Office Management services (e.g., handling the switchboard and e-mail, issuing keys, coordinating postal services, independent ordering and organization of office supplies and consumables, conference room management, seating management)
• Contact person for catering service providers in day-to-day operations.
• Supervision of service providers as well as appointment coordination (cleaning, craftsmen, beverage deliveries, property management, etc.). Obtaining and comparison of offers, preparation of service specifications as well as control, e.g., of the areas to be cleaned.
• Steer and guide external service providers with various topics and requests.
• Ordering of kitchen equipment (dishes, coffee machine, etc.) as well as contact person for the maintenance of the equipment
• Management of data containers for the destruction of confidential data
• Supporting employees on site with various issues and questions
• Providing administrative activities within the scope of the job, such as data maintenance, processing lists, presentations, project work, etc.
• Contribute ideas for the optimization and continuous improvement of existing processes for the Office Management department.
Requirements
Education:
• Bachelor’s Degree, e.g., office management, property or business administration, general management, or comparable qualifications
Language:
• Excellent English Kinyarwanda Language skills (Written and Verbal)
Experience
• At least 3 years of sound professional experience in an international work environment in Customer service and management (Tourism, Hotel, office management/administration etc.,).
