1. Profile of DUHAMIC-ADRI

DUHAMIC -ADRI is a Kinyarwanda acronym that stands for Duharanira Amajyambere y’Icyaro.

Translating to ‘’ we strive for the development of the rural community ‘’in English. It is a non-profit organization located in Kigali, the capital city of Rwanda, within the kicukiro district, Niboye sector.it was established in 1979 by a group of Rwandans who identified the crucial need for rural development in the country.

DUHAMIC-ADRI is a Non-Governmental Organization legally granted by Rwandan law and legally recognized by the Ministerial Order No. 943 of July 12, 1985. Its statutes were amended and accepted by the Ministerial OrderNo.025/11of21th March 2005. With the vision to have « A rural world responsible for its self-socio-economic development », DUHAMIC-ADRI has a mission of « Supporting integrated development through the initiatives of the rural population in their struggle for self-development». DUHAMIC-ADRI’s interventions reaches 26 districts of Rwanda as follow: Kicukiro, Nyarugenge, Burera, Gakenke, Gicumbi, Musanze, Rulindo in Northern Province; Gisagara, Huye, Kamonyi, Muhanga, Nyamagabe, Nyanza, Nyaruguru and Ruhango in South Province; Nyabihu, Nyamasheke, Rubavu, Karongi, Ngororero, Rusizi and Rutsiro of Western Province and then Kayonza, Kirehe, Ngoma and Rwamagana of Eastern Province.

2. OBJECTIVES

DUHAMIC-ADRI intends to invite proposals for the provision of tents and sound systems for different events regularly organized at District level (of its interventions) during a period of one-year renewable based on appreciation of the services rendered.

3. SCOPE OF WORK

The hired service provider will provide tents and sound system services wherever needed during implementation of projects at community level.

The selected company will be responsible for the service provision in all 26 Districts of intervention in accordance with the indicated needs.

4. EVENT OVERVIEW

During the campaign/awareness/event different types of tents are needed and the sound system depending on the size of this event determined by the targeted audience. Here below is an example of needed tents linked to this specific tender:

5. EXPERIENCE:

The company should have the experience in such provision of tents and related services, sound system and should be justified by the recent certificates from trustworthy institutions.

6. ELIGIBILITY CRITERIA

Eligible bidders should fulfil the following requirements:

• A copy of trading License from RDB
• A valid Tax clearance certificate from RRA
• A copy of Social Security Clearance issued by RSSB
• A copy of Certificate of registration for VAT
• A Proof of having electronic billing machine (EBM)

7. COMPOSITION OF BIDS

A motivation letter addressed to DUHAMIC-ADRI Executive Secretary, P.O BOX 1080 Kigali with the following attachment:

1. One page of company profile
2. A copy of trading License from RDB,
3. A proof to use Electronic Billing Machine (EBM): A copy of invoice submitted in the past.
4. Valid Tax clearance certificate provided by Rwanda Revenue Authority (RRA),
5. A copy of Social Security Clearance issued by RSSB,
6. A copy of Certificate of registration for VAT,
7. Three (3) recent certificates of good completion of similar services from trustworthy institutions,
8. Quotations indicating the unit costs (average in all 26 districts) must include all related costs such as transport and applicable taxes

9. CONTRACT DURATION

This tender is for a period of one year starting from July 2024 to June 2025 with the possibilities of renewal based on the services provided by the bidder and appreciated by the Client (DUHAMIC-ADRI) or its Representatives.

10. SUBMISSION OF THE BIDS

Bids will be submitted in a sealed envelope and addressed to the Executive Secretary of DUHAMIC-ADRI at Kicukiro head office no later than Tuesday, June 25, 2024 at 02:00PM while the public opening of bids is scheduled on the same date at 02:30PM at DUHAMIC-ADRI Kicukiro headquarters
