JOB DETAILS:
Procurement Support
• Corporate Financial Management Specialist
• Assist in the procurement process, including researching suppliers, obtaining quotes, and preparing purchase orders. Coordinate with vendors to ensure timely delivery of goods and services.
• Verify invoices and resolve any discrepancies or issues related to procurement.
• Inventory Control & Storage
• Assist in maintaining accurate inventory records, including stock levels, item descriptions, and locations.
• Conduct regular stock counts and participate in inventory reconciliation activities.
• Monitor stock levels to ensure availability while minimizing excess inventory and potentialobsolescence.
• Assist in organizing and maintaining the store, ensuring efficient layout and proper stock storage.
• Collaborate to facilitate the receipt, storage, and retrieval of stock.
• Assist in maintaining cleanliness and safety standards within the store.

Communication and Collaboration
• Reporting and Compliance
• Facility Management and House Keeping
• Liaise with suppliers, vendors, and internal teams to ensure smooth communication and coordination.
• Assist in resolving any logistics-related issues or concerns promptly and effectively.
• Collaborate with finance & administrative team to implement process improvements and streamline operations.
• Consult different departments/divisions and projects to identify needs.
• Support proper allocation of Vehicle to facilitate Staff movement
• Assist in maintaining accurate documentation related to logistics and stock management activities, such as purchase orders, delivery receipts, and inventory reports.
• Prepare regular reports on stock levels, stock movements, and other key performance indicators (KPIs) as required. Support data entry and analysis tasks to identify trends, discrepancies, and opportunities for process improvement. Support compliance with relevant regulations, policies, and procedures related to logistics and stock management. Assist in monitoring quality control standards for incoming goods and outgoing shipments.
• Contribute to the implementation of sustainable practices and initiatives within the logistics operations.
• Participate in internal and external audits in regard to assets management.
• Support other teams to ensure proper functioning of electricity, water and broadband installation of the Fund administrative building.
• Support in ensuring cleanliness of the Fund's offices and compliance with relevant regulations.
• Ensures security of the Fund's offices and property.
• Ensure smooth and orderly supply of refreshments, office stationery and materials to members of staff.

Transport Coordination
• Identify logistics needs
• Record keeping of all transport related documents e.g. requisition forms from staff etc
• Ensure proper allocation of Vehicle to facilitate Staff movement

Job Specifications/Profile
• Relevant Qualifications
• A Bachelor's degree in either Business Administration, Accounting, Management, Supply Chain Management, Administrative Sciences, Procurement, Quantity Surveying, Environmental Sciences, Public Administration, Governance or any related fields.
• Required Experience
• Prior experience in logistics, stock management, or related field is a plus but a learning mindset is acceptable.
• Required Competencies
• Prior experience in logistics, stock management, or related field is a plus.
• Basic understanding of inventory management principles and procedures.
• Proficiency in using computer systems, including inventory management software and MS Office applications.
• Strong attention to detail and accuracy in data entry and documentation.
• Excellent organizational and time management skills.
• Good verbal and written communication skills.
• Ability to work collaboratively in a team environment.
• Basic analytical and problem-solving abilities.
• Familiarity with environmental sustainability practices is beneficial but not required.
