Job Description:
As a Front Desk/ Office Assistant, you will be the first point of contact for visitors, clients, and employees. Your friendly demeanor, excellent communication skills, and organizational abilities will contribute to the smooth operation of our office. Your responsibilities will include but are not limited to the following:
ā¢ Greeting Visitors: Welcome guests, clients, and vendors with a warm and professional demeanor. Direct them to the appropriate person or department.
ā¢ Answering Calls: Handle incoming phone calls, route them to the relevant staff members, and take messages when necessary.
ā¢ Scheduling Appointments: Manage the appointment calendar for meetings, interviews, and client visits. Coordinate with team members to ensure efficient scheduling.
ā¢ Maintaining Reception Area: Keep the reception area tidy, organized, and presentable. Ensure that reading materials are available for visitors.
ā¢ Handling Mail and Deliveries: Receive and distribute mail, packages, and deliveries. Notify recipients promptly.
ā¢ Assisting with Administrative Tasks: Provide administrative support, including data entry, filing, and document preparation.
ā¢ Managing Access Control: Monitor access to the office, and ensure security protocols are followed.
ā¢ Coordinating Meetings: Arrange meeting rooms, set up audiovisual equipment, and assist with meeting logistics.
ā¢ Handling Inquiries: Respond to inquiries from clients, employees, and the public. Provide accurate information or direct inquiries to the appropriate department.
ā¢ Maintaining Records: Keep records of visitor logs, phone calls, and other relevant information.
Qualifications and Education Requirements
ā¢ Bachelorās degree or equivalent.
ā¢ Previous experience as a receptionist or administrative assistant role is preferred.
Required Skills
ā¢ Excellent Communication Skills: Clear verbal and written communication is essential for this role. Excellent verbal and written communication skills in English, and good command of verbal and written Kinyarwanda and French would be an added advantage.
ā¢ Professional Appearance: As the face of our organization, you should maintain a professional appearance and demeanor.
ā¢ Organizational Skills: Ability to manage multiple tasks, prioritize, and stay organized.
ā¢ Customer Service Orientation: A friendly and helpful attitude toward visitors and clients.
ā¢ Tech-Savvy: Proficiency in using office software (Microsoft Office, email, etc.).
ā¢ Adaptability: Willingness to handle unexpected situations and adapt to changing priorities.

ā¢ Excellent conceptual, analytical, documentation, and presentation skills.
ā¢ Excellent planning and prioritization skills.
ā¢ Ability to think strategically and propose solutions.
ā¢ Strong analytical/problem-solving skills.

ā¢ Must be a self-motivated person able to work with minimal supervision.
