We are seeking staff for the position of Assistant Human Resources:

MAIN RESPONSIBILITIES
1. Support in the recruitment
2. Handle the HR administration
3. Responsible for social HR
4. Handle the compensation & benefits scheme
5. Leave management
6. Ensure that all the reports are delivered on time

Reports to:
Head of HR
ACTIVITIES
Support in the recruitment process

  • Support the recruitment process to identify manpower and recruitment needs, generating suitable candidates, organizing and participating in recruitment interviews and associated activities.
  • Conduct reference checks on possible candidates.
  • New employee onboarding and orientation: introduction to all staff, provide job description, etc.
  •  Establish and maintain appropriate HR Records, both paper and IT-based, for individuals and on a consolidated basis.
  •  Support induction for new joiners on the code of conduct.
    Handle the HR administration
  • Prepare the contracts for new joiners, amendment for any changes
  • Support the management of disciplinary and grievance issues.
  •  Process to the termination procedure : dismissal, resignation, last payment, exit interview
  • Ensure HR data are well updated (employee files, data sheets...)
    Responsible for social HR
  • Deal with the adhesion of the employees into the medical insurance and health organisation according to the law
  • Manage and organise events (staff events, awards, memory...)
    Compensations and benefits management(work hand in hand with HR Manager)
  • Assist in timely payment of all compensations (salaries, bonuses, transport, etc.) with accurate data
  •  Assist in timely and accurate declaration of taxes and other contributions (RSSB, SFAR, etc.)
  • Updates payroll records by entering relevant changes: job title, department, RSSB Number, account number, number of days worked/prorate, etc.
  • Be part of the team to monitor salary structures, balance staffing needs with cost controls, and help ensure that policies, procedures and programs are in alignment with the organization’s overall strategic objectives and HR vision
  • Maintains employee confidence and protects payroll operations by keeping information confidential.
    Leave management
  • Efficiently handle staff leave management, ensure it’s in compliance with the regulations and reduce related cost.
  • Ensure monthly follow-up on the yearly leave plan
  • Ensure that all reports are delivered on time
  • Prepare and update all the reports from the HR


Other tasks

  • Supporting the development and implementation of HR initiatives and systems
  • Anticipating, identifying and promptly addressing tasks and issues that arise in their area of responsibility that are not specified in the job description.
  • Staff attendance Register records and reporting
  • Any other task assigned by Management


Desired Skills and qualifications:

  • Bachelor degree in human resources management, business administration, or related fields Experience working in HR an advantage
  • Ability to form excellent working relationships with people at all levels
  • Good understanding/knowledge of employment law and employer best practice
  • Strong knowledge of MS Office
  • Excellent written and verbal communication skills
  • Good command in English and Kinyarwanda
