Request For Proposal
1.Introduction
The Kigali International Arbitration Centre is the premier and sole arbitration institution established in 2010 and officially launched in 2012 with the mandate to provide institutional support in the administration of arbitration, mediation and other Alternative Dispute Resolution services.
The Kigali International Arbitration Centre (KIAC) invites qualified bidders to submit bids for the tender of ˝Supplying of a Vehicle ˝ in accordance with the detailed technical specifications.

2.Tender Requirements
This tender is open for all qualified bidders and shall comply the following tender requirements:
1. The bid offer shall contain the application letter addressed to the Secretary General of KIAC and Financial offer accompanied by the copy of company registration Certificate;
2. The bid shall contain the Trading License issued by the Competent Authority;
3. The Bid shall contain a valid Tax Clearance Certificate
4. The bid shall be in English or French;
1. The bid shall describe the qualifications, experience and capabilities of the company/firm in providing the type of services being request by this RFP;
6. The bid shall detail the cost in Rwandan Francs with applicable taxes;
7. The bidder shall be ready for supply upon the contract signing and issuance of the purchase order;
8. Payment shall be made upon issuance of the EBM invoice.

OTHER REQUIREMENST The vehicle to be covered by a Comprehensive Insurance Policy (Omnium Insurance Policy) at the moment of delivery;

The vehicle must be delivered with a full set of new Tyres;
The vehicle must be delivered without any scratch on its body
The supplier will provide a warranty of at least 15 months for any manufacturing default.
The Vehicle must be delivered along with its original user manual
The vehicle must be delivered along with its valid Certificate of moto vehicle inspection.
The Client shall make inspection of the vehicle not later than 2 days after the tender award and before the contract signing to ensure the vehicle to be supplied meet the above requirements.

The Client reserves the right to cancel the tender award should the vehicle fail to meet the set technical specifications. The Client may award the tender to the next bidder should his/her financial proposal meets the Client’s budget.
DELIVERY TIMELINE The vehicle must be delivered within 10 calendar days maximum after the contract signing and purchase order is delivered by the Client.
4. SCHEDULE OF EVENTS
Interested bidders shall submit their offers well aligned with the above tender requirements by Monday, 09th December 2022, at 15h00 through email: info@kiac.org.rw, Submission of offers in hard version may also be accepted as long as they are submitted on time at KIAC Secretariat located at Nyarutarama, KG 9 Avenue, No 66. Evaluation of tenders shall be conducted the day at 15h30 and bidders are allowed to attend the evaluation process.
